During my hospitality career in Vietnam, our corporation had changed the Fidelio software to Opera software. As the Opera software is developed later on, its applications are more advanced. The system provides more functions and features to assist us with business process. According to Hotel Tech Report (2021), enterprises face high initial costs to change their MIS. Also, enterprises have to deal with contract complexity in terms of training, technical support, and maintenance terms.

To my own opinion as one of internal users, we encountered inconsistently functioning server. The program is sometimes frozen or not capturing data. It normally takes a month for the new software to run and operate smoothly.  Another challenge is time consuming for training internal users to understand new software applications. Internal users need to be trained to use the software efficiently.

At a previous employer of mine, the legacy, DOS command prompt based AIS software program was replaced.  The major challenges that I remember from this event were collaborating with employees that had fixed mind sets and making the user interface of the program easy to use for all employees.

The article 11 Fixed Mindset Examples and How to Change Them by Brooks Conkle:  Brooksconkle.com  defines a fixed mindset as a person that believes that they have fixed qualities, and are not open to change. They value their current level of skills and talents to such an extent that they don’t want to working on improving them.  The article goes on to discuss that many people have specific subjects that they approach with a fixed mindset and gives advice on using an internal monologue to develop a growth mindset. While the company I was working for was changing their AIS program I believe I saw all eleven fixed mindsets displayed by coworkers.

The article 8 Characteristics of Successful User Interfaces by Dmitry Fadeyev:  usabilitypost.com  discusses guidelines for creating a good user interface by defining the eight characteristics for such a program.  These eight characteristics are: clear, concise, familiar, responsive, consistent, attractive, efficient, and forgiving.  The author concludes with stating that achieving some of the characteristics could conflict with others and that a priority list needs to be developed to achieve a balanced and good user interface.  My previous employer experience prioritized familiar, efficient, and forgiving over all others in recreating their AIS.

According to video lectures on Roger Review, three concepts of "business process controls", "business process reengineering", and "transaction processing" present the power of AIS. Roger explained "business process controls" combines six operating cycles in order to achieve optimal outcomes. Specifically, the cycles are "revenue cycle", "spending cycle", "production and conversion cycle", "investing and financing cycle", "fixed assets ", and "personnel and payroll cycle". These transaction cycles should meet certain components for the business transactions to occur. For instance, the procedure of a sales transaction should start with customers placing an order for the goods or services. The contractual parties have obligations to fulfil that sales transaction as sellers and buyers. The seller has to provide a system for those sales transactions, record, and document in the process for financial records.

Second, "business process reengineering" BPR refers to apply technologies to manually accounting tasks and enhance business process. For example, IoT (internet of thing) technology enables consumers to pay a fee for public parking via their cell phone.

The third concept of "transaction processing" explains two methods to process a transaction. They are OLRT (online real time) and Batch processing. OLRT records the database of transactions immediately and constantly by default. Meanwhile, the batch processing records transactions periodically within group for input control purposes.

One of the important concepts I learned this week was EDI. The video made it easier to understand. I'm a visual learner and the video gave me a clear understanding on how EDI works. Every time I make an online purchase I am being part of the EDI process since my order will be sent to that companies billing department and they will send out my statement. Another important concept was learning the pros and cons of developing a In-house accounting system and purchasing a commercial system. I was always under the impression that buying a software would be easier but reading that article made me realize that by creating your own system it can be tailored to your specific needs. Sometimes software's are not used to their full potential because some features might not be used and those are features that are being paid for. In my system at work, there is a calendar that we can use but I rather use my Outlook calendar since it gives me reminders and I can easily find whatever I have set on my calendar. The system at work is not that friendly user and no one in my office uses it. So, if that wasn't part of the system package and was an add on, then it seems like it is a waste since no one uses it. RPA was another concept that I found amazing. I have heard about robots before but never did research just went a long with what people usually say that they are taking peoples jobs. After going through all the videos and all the readings, RPA seems like a game changer and wished my company implemented it as well. It makes it easier for people to focus on other tasks rather than do double work on small tasks that a robot can do. Small things like send out bill reminders, mail, etc. take up a lot of time that can be used in other things such as sales which in turn helps the company.
