Business communication is the process of sharing information between people within and outside a company. In order to be effective, the communication needs to reach the organizational goals to improve the company practices and reduce errors.
Businesses are base in Communication between, manager, employees, vendors, customers, etc. Technology has change the way we communicate in the workplace. Emails, text messaging, video conferencing, the Internet and collaborative software programs allow workers to share information with others no matter where they are located around the world and regardless of the time of day (Diane Chinn, 2017). This new way of communication helps speeding up the process of productivity and make a company more efficient, but the use of technology in Organizational Communication also have its disadvantage, face to face communication, teamwork and interpersonal skills are just some of the things that have been deteriorated by IT Communication.
From my personal experience, I can see at my work everyday how the use of Data is a big support for Organizational Communication. I work as a Hazmat Auditor for UPS, every single package we process will have our personal Identification number. By keeping a Data of every auditor name linked to a personal ID number, it makes it easier for the manager to see who audit a package in case an error was made. This minimize cost to UPS, also provides the manager with a record of the efficiency of the employee and at the same time, brings a better communication between UPS and the Customer.
Companies pays lots of money to ship a hazmat, after paying all this money, they expect the package to be delivery as soon as possible. But UPS, also needs to guaranty a safety delivery. We use an Intranet network for a checklist to determine if the package is approved under the UPS system, if the package is not approve, we need to contact a help support desk to get an authorization code to reject the package, this will take out some responsibility from the auditor because the name of the person who authorize the rejection is also in the form. After all this process, we return the package and communicate the customer of ALL the errors made, we need to make sure to communicate every single error found, to allow the customer to correct them and avoid the package to be rejected more than one time.
In conclusion, Data and Technology can be a great support for Organizational Communication when used correctly. It facilitate and accelerate the process and can create and advantage for a company to be successful.
