We learned that e-mail is a major area of focus for information governance (IG) efforts, and has become the most common business software application and the backbone of business communications today.  In addition, the authors provided details to support their position by providing 2013 survey results from 2,400 corporate e-mail users from a global perspective.  The results indicated that two-thirds of the respondents stated that e-mail was their favorite form of business communication which surpassed not only social media but also telephone and in-person contact.

With this detail in mind, briefly state why the e-Mail has become a critical component for IG implementation? Support with references and do your usual critical review of at least 2 other students' posts.

Introduction

Whether small or big, new or old, every business incorporates social media in its operation strategy (Castronovo & Huang, 2012, p. 117-134). Through social media platforms like email, organizations can communicate with their clients. There is no doubt this communication channel plays an essential role in companies. Information governance (IG) is an approach applied to manage an organization’s information. It achieves this by controlling the functions, processes, and other statistics valuable to the firm. In addition, it ensures data is utilized by those who need it while overseeing the management, minimizing the storage expenses, and ensuring compliance are achieved. So, why does IG need email for its implementation?

Role of email in IG implementation

Information governance focuses on minimizing the risks connected to wrongly organized, received, or sent data (Rajaretnam, 2020, p. 1-17). Email is the most used medium of communication in all enterprises, and it proves to be a crucial component in achieving IG’s goals. According to research, about 75% of important information of businesses is found in the email. Therefore, focusing on this platform will help IG to protect most of the organization’s records.

Importance of email in Information Governance

  • It makes maintaining security and quality of data easy
  • Improves audit and electronic discovery
  • Enables compliance to regulations from industries, state, and federal

Personal experience

Most of the time, I receive emails from unknown sources. It’s exhausting to keep deleting the irrelevant ones and surfacing the important messages. Due to many unread notifications, helpful stuff often gets lost. Sometimes clicking on those notifications from anonymous sources leads to a forced download of certain apps I did not intend to install. Also, my personal information is accessed without my permission. These occurrences make it necessary for me to have established governance to protect my data and prevent unpleasant messages from getting to my Gmail.

Article on Email and IG implementation

According to Hayne’s journal on social media and information governance, he claims that any form of social media is necessary for organizations (Haynes 2016, p. 90-93). To him, IG helps prevent any pitfalls that come with social media. He further claims that social media establishes a ground for a well-performing framework of information governance. My take on this journal is that focusing on social media generally helps regulate data and ensure the right persons safely use an organization’s records. Even so, I think the author should have focused more on email because it’s the most used platform compared to others. In addition, it’s the most targeted area by hackers than other versions of digital apps.

Conclusion

My final say on this topic; email is a serious area that organizations deal with. Its sensitivity to cyberattacks and data losses creates the need for an effective strategy that’ll help maintain data. So far, IG implantation has done a great job in giving email the attention it deserves. But there’s always room for improvement. What are the risks involved with email in Information Governance?
